Who is responsible

ResumeJe is provided to UKM students by Pusat Kerjaya UKM (UKM's career centre), which is responsible for your personal data. The ResumeJe team runs the service and processes your data on UKM's behalf.

What we collect

• Your account: name, UKM email address (which contains your matric number) and password (stored only in scrambled form).
• What you add: contact details, profile summary, links, your experience library, résumés and PDFs you create.
• Reviews: résumés you submit for review and the comments on them.
• Job tracker: the jobs you record and their status.
• Scanned documents: photos and files are read on your own device; only the text found in them is sent to ResumeJe.
• Usage: when you sign in, how many AI requests you make, and your language and guide settings.

Why we use it

• To let you build, tailor and download résumés.
• To let Pusat Kerjaya UKM reviewers comment on résumés you submit for review.
• To send emails about your account (invitations and password resets) and, only if you turn them on, weekly job-tracker check-ins.
• To give Pusat Kerjaya UKM reports on how the service is used.

AI features

When you use an AI feature (finding relevant experience, writing a summary or improving a bullet point), the text needed for that request, such as your experience entries and the job description, is sent to an outside AI provider (Groq, OpenRouter or Google Gemini) to produce suggestions. These providers may process it outside Malaysia. Please don't put sensitive personal details in your experience entries. AI features are optional.

Who can see your data

Pusat Kerjaya UKM staff can see résumés you submit for review and service reports. Your data is stored and processed by our cloud providers (Vercel and Neon), whose servers may be outside Malaysia, for example in Singapore or the United States. We don't sell your data or use it for advertising, and we only disclose it to others when the law requires it.

How long we keep it

Your data is kept while your account exists. You can delete your account at any time from My profile; this permanently removes your profile, experiences, résumés, PDFs, reviews and job tracker.

Keeping it safe

Connections to ResumeJe are encrypted, passwords are never stored in readable form, and only you, and the reviewers of résumés you submit, can see your data.

Your choices and rights

Giving us your data is voluntary, but ResumeJe can't work without your account details. You can see and correct your data in ResumeJe at any time, turn off emails, stop using AI features, or delete your account. To ask for a copy of your data or anything else about this notice, contact Pusat Kerjaya UKM.
